Manage staff member profiles and permissions

Staff profiles in Easyteam let you manage employee details, permissions, and work restrictions all in one place. This ensures your team has the right access, their data is accurate, and their time tracking and payroll records stay aligned with your business setup. 🧑‍💼



Editing Staff Profile Data


➡️ Go to the Staff page


➡️ Click on a single staff member to open their profile, or mark the checkboxes next to multiple staff members and click Bulk Edit Staff



➡️ Update profile details such as name, email, location, position, or permissions. See details below.


➡️ Click Save



Setting permissions:


Permissions control what each staff member can view and do in Easyteam.


Setting these correctly helps protect sensitive data while ensuring everyone can perform their daily tasks efficiently.


Select between Admin, Manager and Staff permissions. See below for the detailed breakdown.





Role

Description

Admin

Has full access to all features and data. Can view, edit, and manage everything across all locations. The Shopify store owner is always an admin by default.

Manager

Can view and manage information for staff in their assigned locations only. Cannot access payroll or financial data.

Staff

Has limited access and can only view their own information, shifts, and checklists. Cannot make edits or view others’ data.


Some features like Payroll, Time off management, and most Settings can only be accessed by admins only.


Visit the Settings page to access additional options that control what managers and staff are allowed to view or do.


Each staff member has a permission level and a Job Position. A job position does not affect access level. Read more: How to assign job positions to staff members?



Setting External IDs


External IDs help you keep Easyteam aligned with other business systems - such as HR, payroll, or accounting software.


You can add a unique ID for each employee, which will appear automatically on all exports for easier bookkeeping and record matching.



➡️ Enter the ID in the External ID field.


➡️ Click Save to apply.



Compensation and Payroll


In each staff profile, you can define payroll-related information such as:


  • Hourly rate or base salary.
  • Tips eligibility.
  • Commission eligibility.


You can also configure your staff member's payroll settings and re-send invites for payroll onboarding.


This information is automatically reflected in payroll exports and synced with your accounting setup if payroll integration is enabled.

Restrictions


Use these settings to control how staff can clock in and out, ensuring accurate and compliant time tracking.


➡️ Restrict clock-in/out to POS only

Prevents staff from using web browsers or personal devices for time tracking. Clock-ins can only happen on approved Shopify POS devices.


➡️ Geolocation & Photo Verification

Require employees to take a photo before clock-in to confirm identity. Contact your account manager or our support team to enable this feature.


➡️ Per-Device Restrictions

Limit time tracking to a specific list of registered in-store devices. Reach out to your account manager to turn this option on.
