How to manage user access and permission settings?

Assigning Permissions



When managing a team of employees, it's crucial to control who has access to what information and functionalities within your organization.


Permissions play a vital role in ensuring that staff members have the right level of access to perform their tasks effectively, without compromising sensitive data. In this guide, we'll explain the differences between various permission levels and how to set them for your staff members 🧑‍💼



To set permissions for your staff members, follow these steps:


➡️ Go to the Staff page.

➡️ Click on the staff member you'd like to change permissions for.



➡️ From the drop-down list, select the permission you want to set.



Permission levels:



Admin Permissions


Admins have the highest level of access within your organization.
Admins can view and manage all aspects of your business.
The store owner is always assigned as an admin.


Management Permissions


Timesheets:
Can add, view and edit timesheet data, but only in locations assigned to them.
Can delete timesheet data, but only in locations assigned to them.

Schedules:
Can make changes to schedules, but only in locations assigned to them.
Can view schedules, shifts and total amount of scheduled hours per employee.
Cannot see the hourly rates of staff members.

Sales & commissions:
Can view commissions earned by staff members in their assigned locations.
Can view the commissions overview table, with a summary of all commissions received.
Cannot delete or edit commissions.
Cannot view or edit Commission Plans.

Checklists:
Can view checklists assigned to their location.
Can mark tasks assigned to their location as complete.
Can view the status report of checklists.
Cannot create, assign or edit checklists.

Staff page
Cannot access the staff page.


Staff Permissions


Timesheets:
View their own timesheet reports only.

Schedules:
View the schedules and shifts of all staff members in their assigned location
View their own total estimated salary.

Sales & commissions:
View details about commissions attributed to them.
Cannot access the Commission Plans page.
Cannot delete or edit commissions.

Checklists:
View the status of tasks and checklists in their assigned locations.
Can complete tasks assigned to their location.
Cannot access the Checklists Status report.
Cannot create or edit checklists.

Staff page
Cannot access the staff page.



➡️ Click the Save button.

Each staff member has a Permission level controlling their access and allowed actions. In addition, each staff member can be assigned to a Job Position, which does not affect access level. Read more about Job Positions at: How to assign job positions to staff members?
