How to create a schedule

Adding a Shift



Creating schedules and sharing them with your team helps streamline operations. With Easyteam, you can quickly create, share, print, and view schedules directly in Shopify POS in just a few steps.



➡️ Go to the Schedules screen.


By default, the schedule displays a single week. Each column represents a day of the week, and each row represents an employee.

➡️ Use the drop-down menu in the top-right corner of the screen to switch between weekly and monthly views.



➡️ Use the date picker to select the week you want to view or edit.




➡️ In the weekly view, hover over an empty cell. A “+” button will appear - click it to add a shift for that employee on that date.



In the Monthly View, click on an empty space within the desired day to create a shift.

➡️ Set the Start time, End time, and location of the shift.


The selected dates and times will automatically follow your location’s time zone settings.



➡️ Optionally, select a color for the shift from the dropdown selection box.


➡️ Click on the Save button.


The new shift will appear on the correct date, inside the staff member's row in a **draft **mode.



If you are managing multiple locations, we recommend using the location picker on the top-left to filter all information by location and streamline schedule creation.



Publishing shifts


When you create a schedule, all shifts are initially saved in Draft mode. Draft shifts are visible only to Admins and Managers. Staff members assigned to the location can see the schedule only after it has been published.

You can only publish one location and week at a time. Publish each one individually for all changes to take effect.


Click the Publish Schedule button at any time to see if any location has drafts that need to be published



After clicking Publish Shifts, a pop-up window will appear with a summary of the weekly schedule and notification settings:


Choose whether to send notifications to all staff at this location or only to staff whose schedules have changed.


Once the schedule is published, staff at the location will automatically be notified by email or push notification, depending on their individual preferences.


In case you're not pleased with the draft, simply click on "Actions" button and "Revert to published". It'll revert the shifts to the existing published schedule. You can do so on each location separately


Creating Open Shifts


Use Open Shifts to create unassigned "up for grabs" shifts that any eligible staff member can request to fill.

➡️ Locate the Open Shifts row at the very top of the staff list.


➡️ Click on any empty cell in the Open Shifts row for the day you need coverage.


➡️ Define the shift details (Time, Job Position, and Location), choose if requests for this shift require approval, then click Save.

➡️ When creating an Open Shift, look for the Requires Approval toggle:

When ON, staff can "Request" the shift. You must manually pick the staff from the list of interested staff.

When OFF, The first staff member to tap "Claim" is automatically assigned the shift.


💡Open Shifts appear as a draft until you click Publish. Once published, all staff members assigned to that location will receive a notification that a new shift is available.


For shifts with approval, use staff feedback to build a schedule that works for everyone.


➡️ On the Schedules screen, look at the Open Shifts row. You will see small colored dots on the shifts representing staff interest:


🟢 Green dots: Staff who "Prefer" this shift.

🟡 Yellow dots: Staff who are "Available."

🔴 Red dots: Staff who marked themselves "Unavailable."


➡️ Click on the Open Shift to open the Assignment Window. You will see a list of all staff members and their chosen status for that specific shift.



➡️ Select the staff members you want to assign, and click Approve.
