Review, edit, and finalize time cards

You can use Easyteam to review time worked by your staff, correct mistakes, add missing records, and turn in-progress shifts into finalized time cards.


After the staff member clocks out and the record is finalized, it becomes part of your timesheets and time card history. If you haven't already, make sure your team is clocking in and out—see how to get your team set up with clocking in and out for more details.

Understand shifts and time cards


All staff overview


When you open Timesheets, you start on the all staff overview. This page lists every staff member and shows a summary row for each one, including total hours worked, unpaid breaks, time off hours, overtime, approval status, and total amount.

You can narrow the view using the controls at the top of the page:


  • Location — use the location dropdown to view timesheets for all locations or a specific one.
  • Date range — use the date filter to choose a preset range (for example, Last 30 days) or set a custom period.
  • Search — use the search icon to find a specific staff member by name.
  • Filter — use the filter icon to narrow the list by criteria such as position or approval status.
  • Sort — use the sort icon to reorder the list by any column, such as total hours worked or amount.


Individual staff timesheet


Click any staff member on the overview to open their individual timesheet. This drills into that person's detailed records for the selected date range. Each row shows: date, clock-in and clock-out times, hours worked, unpaid breaks, time off hours, time off policy, location, amount, and approval status. A Total row at the bottom sums up the key columns.


Use the tabs at the top to switch between:


  • All — every entry (shifts and time off combined).
  • Shifts — only clock-in/clock-out records.
  • Time off — only time off entries.
  • Suggestions — pending manager suggestions, if any.


To go back to the all staff overview, click the ← Timesheets link at the top left.

Timesheets can show both finalized time cards and in-progress shifts. In-progress shifts are labeled In progress, and are excluded from totals and exports until finalized. If a staff member is still clocked in, add a clock-out time first — see Finalize an in-progress shift.


Filter by warnings and badges


Inside an individual staff timesheet, you can use the Warnings and badges filter to surface time cards that need attention. Click Add filter +, then select Warnings and badges to choose from the available options, for example:


  • Unscheduled shift — the shift doesn't match any scheduled shift.
  • Late clock-in — the staff member clocked in after the scheduled start.
  • Early clock-in — the staff member clocked in before the scheduled start.
  • Late clock-out — the staff member clocked out after the scheduled end.
  • Short shift — the shift was shorter than expected.
  • Long shift — the shift was longer than expected.


Warnings on time cards


You can combine warning filters with Location, Dates, and other filters to narrow your view further. This is especially useful before approving time cards or running payroll.



Add a missing time card


If a staff member forgot to clock in, then you can create the missing record manually from their timesheets view.



Steps:


  1. From Easyteam, go to Timesheets.
  2. Click the staff member whose record you want to update.
  3. Click Add Shift.
  4. Enter the shift details, including Location, Clock in, and Clock out.
  5. Review the total worked time.
  6. Click Save.



After you save the record, it appears as a finalized time card in that staff member's timesheets history. If you use shift approvals, the new shift will be automatically marked as "Approved".



Edit a time card


If clock-in time, clock-out time, location, or break details are wrong, then you can update the finalized time card.



Steps:


  1. From Easyteam, go to Timesheets.
  2. Open the relevant staff member.
  3. Use the date and location filters to find the time card that you want to update.
  4. Click the edit icon for that time card.
  5. Update the details that need to change.
  6. Click Update or Save.



If a manager is making corrections from Shopify POS, then they might use Manager View instead. For more information, refer to Using the Manager View on Shopify POS.


If your store uses Easyteam Payroll, time cards that were already included in a completed pay period are locked and can't be edited.



Finalize an in-progress shift


If a staff member forgot to clock out, or if a manager needs to close an in-progress shift, there are two ways to finalize it.


Edit the shift and add a clock-out time


You can open the in-progress shift directly in Timesheets, manually add a Clock out time, and save. Once a clock-out time is set, Easyteam finalizes the shift and turns it into a time card.


Steps:


  1. From Easyteam, go to Timesheets.
  2. Find the record labeled In progress.
  3. Click the edit action for that row.
  4. Add the Clock out time.
  5. Review any break details and confirm they fall inside the shift.
  6. Click Save.


Use 'Adjust shift times' in real time from POS


If the shift is still happening and a manager needs to adjust or close it in real time, use Adjust shift times. This is available from:

Steps:


  1. Open the Dashboard or the Manager View tile on POS.
  2. Find the staff member whose shift you want to adjust.
  3. In Adjust shift times, add or correct the Clock out time.
  4. Review any break details.
  5. Click Save.


After the shift is finalized:


  • totals update
  • exports include the record
  • approvals can be applied, if your store uses them



Review the audit log


The audit log helps you understand what changed on a record, who changed it, and when the change happened.



Single Shift Audit Log


The audit log can include events such as:


  • clock-in and clock-out actions
  • break start and end times
  • edits to time, location, or assigned staff member
  • approval and approval undo actions
  • manager suggestions
  • shift deletion history
  • late clock-in warnings


Admins and managers can review it in the Edit Shift flow, by clicking Audit Log.

Troubleshoot time card corrections


Totals or exports don't include a record


Check whether the record is still labeled In progress or Pending Approval. These shifts are excluded from totals and exports until they are finalized.


If you need export details, then refer to Export time tracking and time card data.


A manager can't adjust shift times


Check whether managers are allowed to adjust clock in, clock out, and break times in your time tracking settings in the Settings page.
