Export time tracking and time card data
You can export time tracking data from Easyteam to support payroll, reporting, and record review for a selected date range.
Exports can include all staff, only the staff currently shown in the table, or only selected staff members. Finalized time cards are included in exports. In-progress shifts are not.
On this page

Choose the date range and filters
Before you export, review the filters on the Timesheets page so the file matches what you need.

You can usually filter by:
- date range
- location
- staff name
- job position
- status, if your store uses approvals or suggestions

Export all staff or filtered staff
Use this option when you want one export for the full team or for everyone currently shown in the table.

Steps:
- From Easyteam, go to Timesheets.
- Select the date range that you want to export.
- Apply any location or staff filters that you need.
- Click Export.
- Choose your export format and one of the following:
- All staff to export everyone in the selected date range.
- Staff shown on table to export only the records currently shown after filtering.
- When exporting to Excel, you can export one sheet per location.
- Click Export Timesheets.

Single staff member time card export
To export time tracking data for one specific staff:
- Go to the Timesheets page
- Click a specific staff member
- Click Export
- Choose your export format and click Export

The file will contain only time tracking data for a specific person.
Summary export vs. Detailed export
When exportin, you have the option to choose between Standard and Detailed export.
Use the detailed format when you need one row per finalized time card.

This format can include fields such as:
- staff name
- clock-in time
- clock-out time
- worked hours
- location
- amount
The Standard format includes a sum of all combined shifts, with just the totals.
Understand overtime and in-progress shifts in exports
Easyteam treats overtime and in-progress shifts differently from regular finalized time cards.
In-progress shifts
In-progress shifts are excluded from totals and exports. If a record hasn't been clocked out yet, then it won't appear in the exported totals.
If you need to finalize a record first, then refer to Review, edit, and finalize time cards.
Overtime
For payroll-enabled shops that use supported payroll connections, overtime can appear in exports for the selected date range.
Overtime behavior to know:
- overtime is calculated for the selected date range
- overtime is not distributed across individual shift rows
- multi-staff exports can include dedicated overtime columns
- single-staff exports can include a separate overtime summary section
For more information, refer to Understand overtime in time tracking.
Troubleshoot exports
A record is missing from the export
Check whether the record is still labeled In progress. Only finalized time cards are exported.
The export includes too many staff members
Review your selection method:
- All staff exports everyone in the date range
- Staff shown on table follows the current filters
- Selected staff exports only checked staff members
You want to review time cards before export
If your store wants approvals or suggestions before data is exported, then refer to Approve and review time cards.
