Migrating Your Gusto Payroll Data to EasyTeam
When switching to EasyTeam as your payroll provider mid-year, it's crucial to migrate your previous payroll data to ensure accurate tax payments and reporting. This guide will walk you through the process step by step.
You can keep your Gusto account active during the migration process to maintain access to reports and run additional payrolls if needed.
Two Ways to Provide Payroll Data
Grant administrator access to EasyTeam (Recommended)
Download and email reports yourself
Method 1: Granting Administrator Access
Follow these steps to add EasyTeam as a Full Access Admin in Gusto:
➡️ Sign in to Gusto as the Primary administrator.
➡️ Navigate to Settings.
➡️ Click the Gusto admins or Permissions tab.
➡️ Click Add or edit admins in the "Gusto admins" tile.
➡️ Click Add new admin in the top-right corner.
➡️ Select "not an employee" and "other collaborator".
➡️ Enter the following information:
- First Name: Payroll
- Last name: Admin
- E-mail: payroll@easyteam.com
➡️ Select Full Access admin.
➡️ Scroll down and click Add admin.
Method 2: Downloading Reports Yourself
Generating Payroll Reports:
➡️ Log in to your Gusto account.
➡️ Click Reports in the left sidebar.
➡️ Under Summary Reports, select Payroll Journal.
➡️ Configure the report settings:
- Set date range to Quarterly
- Select all employees
- Check all additional options:
- Detailed employee info
- Detailed employment info
- Employee earnings breakdown by job
- Employer tax breakdown
- Employee tax breakdown
- Deductions and contributions
- Details totals
- Reimbursements
➡️ Click Generate Report.
➡️ Generate the report again for each completed quarter of the current year, per quarter. Then generate the report again for each payrun in the current quarter.
➡️ Click Download CSV.
You must generate a quarterly report for each completed quarter of the current year, showing YTD amounts per quarter. Additionally, provide a report for each payrun in the current quarter.
💡 Example: If you're joining on August 30th and have processed payroll during Q3, you'll need reports for Q1, Q2, and individual payruns from Q3.
For Weekly Pay Groups:
Submit all calendar year data accumulated so far.
Share your final weekly payroll run data once processed.
💡 Example: If you run payroll every Monday for Friday check dates, send us all previous payroll information first. After running your final weekly payroll in Gusto, send us that payroll journal by Friday to ensure a smooth transition to your first EasyTeam payroll the following week.
