Approve and review time cards
You can use approvals in Easyteam to review finalized time cards before payroll or reporting, and to give managers a clear process for approving records or suggesting changes.
Approvals apply to finalized time cards. In-progress shifts must be clocked out and finalized before they can be approved.

Understand approvals and statuses
When approvals are enabled, Easyteam can show approval statuses in both the general timesheets view and the per-staff view.

Common statuses include:
- Pending approval
- Approved
- Has suggestions
At the general timesheets level, the status shows a summary for each staff member in the selected date range. At the individual record level, the status reflects the specific time card.
Approve a time card
Use approvals when you want a final review step before payroll, exports, or compliance checks.
Steps:
- From Easyteam, go to Timesheets.
- Open the staff member whose time card you want to review.
- Select the time card.
- Review the worked time, breaks, location, and any suggestions.
- Click Approve.

If you need to reverse your approval, click Undo approval. This will unlock the time card so you can make edits again.
Filter time cards before approving
Before approving individually or in bulk, use filters to control which records you see:
- Approval status — show only Pending approval records.
- Location — narrow to a single store.
- Date range — match the pay period you're reviewing.
- Staff — focus on a specific team member.
- Warnings and badges — surface shifts with flags like late clock-ins or long shifts. For more info on warnings, refer to Filter by warnings and badges.
Bulk approve time cards
Bulk approval helps when you want to approve multiple finalized records at once for the current view or filter.

Steps:
- From Easyteam, go to Timesheets.
- Apply the date range, location, staff, or status filters that you want.
- Select the time cards that you want to approve using the checkboxes on the left side.
- Click Approve selected.
- Review the number of records being approved.
- Confirm the action.
Review manager suggestions
If a manager doesn't have permission to edit time cards directly, then they can suggest changes instead.
Managers can suggest updates such as:
- corrected clock-in or clock-out times
- break changes
- other record corrections that need admin review

Admins or editors can then:
- Apply suggestion
- Dismiss suggestion
Suggestions remain visible in timesheets so reviewers can see that action is needed.
Filter shifts with suggestions:
- Click Search and filter
- Click Add new filter
- Select Suggestions and With Suggestions

Understand permissions
The exact actions available depend on the user's role and store settings. Customize these in your Settings screen under Time Tracking Settings
- Admins can review, approve, undo approvals, and apply or dismiss suggestions.
- Managers can approve time cards when approvals are enabled. Depending on their permissions, managers may be allowed to edit shifts directly or submit suggestions for changes. Managers cannot view pay rates and salaries of others.
- Staff can view their own records only.
Review approval history in the audit log
You can open the audit log from the Edit Shift flow by clicking Audit Log. It helps you verify who approved a time card, who suggested a change, and whether approval was undone later.
Look for events such as:
- approved
- undo approval
- suggested update
- applied suggested update
- dismissed suggested update
