Setting Up Notifications: Email, SMS & Push Alerts

Easyteam notifications help your team stay informed about critical updates like time-off approvals, clock-outs, and schedule changes.




How Do Notifications Work?


Notifications can be delivered via email, push, SMS, and are also visible in your in-app inbox. Notifications are sent to users based on their role and activity. You’ll only receive alerts that are relevant to you—no clutter.


Admins receive alerts for all events across every business location.

Managers get notified about events at their assigned locations only.

Staff are notified about their own tasks and schedule updates.

Examples of notifications you might receive include:


  • A staff member submits a time-off request that needs approval
  • An employee forgets to clock out at the end of a shift
  • A new schedule is published or modified


All users can choose how they want to be notified—by email, mobile app push, SMS, or through the in-app notification inbox.




Quickstart: Getting Set Up


Each team member must enable notifications from their own account to start receiving them.


➡️ Go to Settings > Notifications inside the Easyteam app or web dashboard.


Choose the notifications you'd like to receive


➡️ Enable the alerts you want for each channel: email, SMS, or push.


You’ll also find all notifications in the 🔔 Notifications Inbox, located at the top right of every Easyteam screen. No setup needed.


📱 To enable push notifications, team members must install the Easyteam mobile app and allow notification permissions on their device. SMS are available only in the U.S. and Canada.

🔔 Note: All notification types are turned off by default—users must opt in manually from their settings.




Manager and Admin Notifications


Managers and Admins also receive notifications about their team’s activity—this helps keep locations compliant and running smoothly.


Here are a few examples of manager- and admin-level alerts:

Get notified when staff clock in, clock out, or forget to do either.

Receive alerts for late arrivals, missed breaks, or overtime.

Stay informed about team schedule changes, time-off requests, and approvals.


These notifications are sent automatically based on your locations and permissions, and can be enabled or disabled in your Notifications Settings screen.

To get the most out of Easyteam notifications, we recommend the following setup for every team member:


➡️ Log in to Easyteam on your mobile device to access push and SMS notification options.


➡️ Go to the Settings > Notifications screen and follow the steps to enable Push Notifications on your device.


➡️ If SMS is available, enter your phone number and complete verification to activate SMS alerts.


➡️ We recommend turning on all notifications available to you—across all channels—to make sure you never miss an important update.


📲 With this setup, you'll receive real-time alerts for things like shift changes, time-off responses, and clock-in issues—whether you're on your phone or desktop.
