Copy and repeat weekly schedules

You can copy an entire week's shifts to one or more future weeks so you don't have to build the same schedule from scratch every time. This is useful when your staffing pattern stays roughly the same from week to week.


Copied shifts appear as drafts alongside any shifts already on the target weeks, so you can review and adjust before publishing.

Quick-duplicate a single shift


If you only need to copy one shift rather than an entire week, you can duplicate it directly on the schedule grid.


Hold Shift on your keyboard while dragging a shift card to a new date or staff member. This creates a copy of the shift instead of moving the original.

Copy shifts to future weeks


Use bulk copy to duplicate an entire week's schedule for selected staff members to one or more upcoming weeks.



Steps:


  1. Go to the Schedules screen.
  2. Use the location filter on the top-left to choose the relevant locations, or select All Locations.
  3. Use the date picker to navigate to the week you want to copy from.



  1. Click Actions > Copy Shifts.
  2. Choose All scheduled staff or select specific staff members.
  3. Select one or more target weeks (up to 5 weeks ahead).
  4. Click Copy.



The copied shifts appear on the target weeks as drafts. You can edit any of the newly created shifts before publishing.


Copied shifts are added alongside any shifts that already exist on the target dates. They do not replace existing shifts.


After copying, a toast message with an Undo button appears briefly. Click Undo to remove all the copied shifts if the result isn't what you expected.


If you're copying a large number of shifts, they may take a few seconds to appear on the schedule. Please wait a moment for all copied shifts to finish loading.

Include open shifts in the copy


If the source week also has open shifts that you want to copy over, check the Copy open shifts (unassigned) option in the Copy Shifts dialog before clicking Copy.



This is useful when your weekly staffing template includes a mix of pre-assigned shifts and open shifts that staff can request or claim. For more information about open shifts, refer to Create and manage open shifts.


When this option is unchecked, only shifts assigned to a staff member are copied.



Convert copied shifts to open shifts


If you want to reuse a previous week's shift pattern without locking in the same staff, check the Convert to open shifts with manager approval option in the Copy Shifts dialog.



This turns all copied shifts into open shifts that require manager approval, so staff can indicate their preferences before you finalize the schedule. It is a good way to rotate assignments or redistribute hours across the team while keeping the same time slots and positions.
